The sequence matters more than the shortlist. Every step below constrains the ones under it, so doing them out of order is how families end up paying twice for the same decision. Prices quoted here are the twin-city figures our venue and vendor desks work with; other cities differ, and the quote you get will be for your city.
Fix the date and the guest count before anything else
Almost every line of a wedding bill is priced per head or per date, so a headcount that moves by a hundred people changes your venue shortlist, not just the total. Get the number the families will actually agree on, and a second date you would accept, before you start asking anyone for prices.
Choose the city by where the guests are travelling from
A cheaper hall two hours from most of your guests is rarely cheaper once transport and the people who quietly do not come are counted. Decide the city first, then the side of it. If most guests are flying or driving in, being close to where they land beats being close to where you live.
Book the venue — it fixes everything else
The venue locks the date, the capacity and, frequently, who is allowed to cook. Get four things in writing before you pay an advance: whether outside catering is permitted or there is an in-house or approved list, whether service charge and sales tax sit on top of the quoted per-head rate, the generator arrangement and who pays for its fuel, and the deadline for confirming your final guest count. Ask about the cut-off for amplified music too — in Islamabad's residential sectors it commonly falls between 10 and 11 pm, and it decides whether a late programme is possible at all.
Settle catering terms next, not decor
Catering is the largest single line after the venue and the one most constrained by the venue's rules, so it has to be resolved before you commit to a look. Ask for the per-head rate, what is included at that rate, what is billed as an extra, and whether live counters are priced separately. Compare on the all-in figure, never on the headline per-head number.
Lock the vendors that sell out first
Photographers and bridal makeup artists go earliest for peak-season weekends — in the twin cities, peak means roughly October through March. Decor, lighting, transport, the cake and the cards can usually be arranged much later without losing you options. Booking in that order costs nothing and protects the two choices people regret most.
Put the money terms on paper, every time
Venues typically hold a date against a 30 to 50 percent advance and vendors against 40 to 50 percent, and those advances are normally adjustable against a rescheduled date rather than refundable in cash. Get the reschedule window, the cancellation slab and the final confirmation deadline written on the receipt. This is the single step that turns a dispute into a conversation.
